The EU Just Made 8 Years of Spare Parts Mandatory for Refrigerated Vending Machines. Here's What That Means for Your Next Build

Refrigerated vending machines were brought under EU Ecodesign rules for the first time as “refrigerating appliances with a direct sales function.” The requirement that changes procurement is not the energy label — it is the spare-parts obligation: manufacturers must keep certain parts available for 8 years, according to the European Vending and Coffee Service Association (EVA). The same framework restricts marketing to authorised energy information and drives refrigerated vending toward low-GWP refrigerants like R290 (propane) instead of R134a. For a buyer, that means a refrigerated machine is no longer a one-off purchase — it is an 8-year service commitment, and the machine you spec must be built so its compressor, controller, and door seals can still be sourced in year eight.

Refrigerated vending machines just got regulated in Europe for the first time.

The requirement that changes procurement is not the energy label.

It is the spare parts.

The EU’s Ecodesign framework covers “refrigerating appliances with a direct sales function” — and the European Commission explicitly includes vending machines for cold drinks in that category.

Under those rules, manufacturers must keep certain spare parts available for 8 years, according to the European Vending and Coffee Service Association (EVA), the industry’s own trade body.

Eight years. Not two. Not five.

If your compressor, controller, or door seal goes out of production in year three, the seller is on the hook for parts until year eight.

That turns a refrigerated machine from a one-off purchase into an 8-year service commitment.

And it changes how you should spec a build — whether you sell into Europe or not.

The Rule Nobody Is Talking About

The energy label gets the headlines. It is visual. It is on the cabinet door.

The spare-parts obligation is silent, but it is the one that survives the sale.

A machine with a great label class and no parts strategy is a liability the moment a component goes end-of-life.

A machine with a boring label and a disciplined parts plan is an asset for eight years.

The same framework adds a second rule buyers rarely check: only authorised energy information may be shown in marketing. “Previously rated A++” — a claim that used to smooth over a re-scaling — is no longer allowed.

Which means the label number on the door is the only energy claim you should trust.

The Refrigerant Fork: R134a vs R290

Every refrigerated vending build now splits on one decision.

The refrigerant.

R134a is the legacy HFC. It works, but the EU’s F-gas regulation is phasing HFCs down, and its global warming potential (GWP) is 1,430.

R290 is propane — a natural refrigerant with a GWP of roughly 3.

The direction is clear. Refrigerated vending is converging on R290.

But R290 is not a sticker you add. It is a sealed-system engineering decision — charge size, leak protection, and safety margins all change. A cabinet designed for R134a is not automatically an R290 cabinet.

That is exactly the point where spec discipline matters.

Design for Serviceability: What to Check Before You Buy

A refrigerated machine that is compliant on paper and a machine that is actually serviceable for eight years are different things.

Here is what separates them.

Six questions to put in front of any refrigerated vending vendor before you commit.

  1. Which parts are on the 8-year availability list? Get the actual list, not a verbal promise.
  2. Is the refrigerant R290 or R134a? And is it engineered for that refrigerant, or retrofitted?
  3. What is the machine’s current EU energy label class? Ask for the number, not the adjective.
  4. Is the compressor standardised? A proprietary compressor is a single point of failure in year five.
  5. Can the controller and firmware be serviced independently? Locked firmware means every fault is a vendor visit.
  6. Who holds the spare-parts inventory? A manufacturer with an 8-year obligation but no stock is a promise, not a plan.

Every one of these is checkable before you pay.
