Why parts are the risk nobody quotes for
Buyers comparing vending machine suppliers spend most of their attention on price, specification and lead time. The regret they report afterwards is almost always about something else: a machine that works fine for two years, then stops, and nobody can tell them what the part is.
The pattern is consistent. A machine is bought from a supplier who branded it rather than built it, the brand quietly disappears, and the owner is left measuring a vend motor with callipers and searching for something that looks similar. The alternative failure is nearly as bad — the supplier still exists but treats parts as an afterthought, and a routine wear item arrives months later, or at a price that reflects the fact that you have no other option.
Neither of those is a manufacturing problem. Both are a consequence of who owns the design. This page sets out what wears out on a vending machine, how to identify and order a part, and what to arrange at the time of purchase so the question never becomes urgent.
What actually wears out

Two notes on that table. First, service life is a function of dispense volume, product weight and site environment — a machine issuing heavy tooling all shift is not comparable to a corridor machine issuing sanitary items, so no honest supplier can quote a single replacement interval. Plan around the list, not around a predicted date.
Second, the payment device is usually the one item that is not ours. If your machine carries a third-party terminal, ask at quotation stage which support route applies to it, because the machine and the terminal do not necessarily share a parts path. See Payment Methods for what is supported.
Diagnose before you order
Ordering the wrong part is expensive twice — once for the part, and once for the second shipment. Narrow the fault down first.
- Check it remotely. Machines ship with 4G connectivity for remote monitoring, so a fault can often be characterised from the telemetry before anyone opens the cabinet.
- Use the on-machine diagnostics. The admin interface includes a maintenance and diagnosis section, a restart function that avoids waiting for a technician, and a factory-mode test that rotates every coil and opens every locker cell in turn — which distinguishes one dead motor from a board or wiring fault in a couple of minutes. The sequence is documented in the vending machine operation manual.
- Separate mechanical from stock problems. A selection that reports out of stock is disabled by the software until it is marked refilled; that is a stock-state issue, not a motor failure. Persistent failures to dispense on a stocked selection are usually a product-to-coil fit problem rather than a broken part — see Coil Options and Motor Coupling for how coil choice relates to pack size.
- Photograph the part in place before removing anything. It is the fastest way for us to confirm the right item.
How to identify a part
Send us four things:
- Machine model and serial number, from the identification label on the machine. Every KioskForce machine is powered on and tested before crating, and its test results are recorded against that serial number, so the build configuration can be looked up rather than reconstructed from memory.
- The tray or selection number where the fault occurs.
- A photograph of the part as installed.
- A description of the behaviour — what the machine does, and what it should do instead.
That is normally sufficient to identify the part without a site visit or a technician. If you have several machines, quote the serial number of the specific unit rather than the model alone; two machines of the same model built for different projects are not necessarily identically configured.
How to order
Parts are ordered directly from us. Send the identification details above to our team and we confirm the part, the price and the shipping method for your location before anything is dispatched.
Small parts — motors, springs, locks, seals — ship by courier. Larger assemblies such as doors, refrigeration components or complete tray sets ship by freight, because the packaging and handling requirements are different. We do not publish a parts price list, because the price depends on the part, the configuration it belongs to and the destination; ask and we will quote it.
Why owning the design keeps parts orderable
KioskForce designs both the hardware and the software in-house, at the Nanjing engineering office, with production at a partner facility in Cangzhou, Hebei. That structure is the reason the parts question has an answer:
- The mechanical drawings and the control board design are ours, so a part can be identified from the model and serial rather than from whatever a third-party factory happened to fit that year.
- There is no reseller chain to relay a question through. You are asking the people who designed the machine.
- Because the same team supports the software, a fault that turns out to be firmware rather than hardware can be fixed with an over-the-air update instead of a shipment.

What we do not do is publish a fixed number of years of parts availability. Any supplier can print one; what matters is whether they hold the design. Order the spare-parts kit with the machine
The single most useful thing you can do at purchase time is to have a recommended spare-parts kit quoted alongside the machine.
The usual candidates:
- Vend motors
- Spare coils and springs, in the pitches your planogram actually uses
- Locks and keys
- Door and cabinet seals
- An evaporator fan, on refrigerated models
- A spare touchscreen or controller board, for critical or remote sites where downtime is expensive
The right kit is model-specific and site-specific — a single machine in a city office and a fleet on a mine site justify very different holdings — so tell us the deployment and we will propose a list rather than sell you a generic box. Ask for it during customization scoping, while the configuration is still being settled.
Freight and duty on small parts shipments
This is the part buyers underestimate, and it is worth stating plainly: on a small parts order, the shipping and customs costs frequently exceed the value of the parts.
The reason is structural. Freight, the customs entry and the broker’s fee barely change between a shipment of fifty springs and a shipment of five, and duty is assessed on the declared value plus freight. Nothing about a small order is proportionally small except the parts.
Three practical consequences:
- Order wear items with the machine. They travel in a shipment that is already being crated, cleared and delivered, so the marginal cost is close to the cost of the parts themselves.
- Consolidate later orders. One shipment of everything you are likely to need over the next period costs far less than several small ones.
- Get the paperwork early. Ask us for the HS code and packing details so your customs broker can estimate the charge before you commit, rather than discovering it on the invoice.
Duty applies to spare-parts shipments exactly as it applies to machines. We do not publish duty rates or landed-cost estimates, because they depend on your destination, your classification and rules that change — your broker is the correct source for that number, and giving them the HS code early is what makes their answer useful.

Support after the warranty

What to ask any supplier before you order
Copy these into your supplier enquiry. The answers are more revealing than the specification sheet.
- Do you design this machine, or do you buy it finished and brand it?
- If I need a vend motor in five years, how do I identify and order it?
- Is the serial number tied to a build record I can quote back to you?
- Which parts do you recommend I stock on site, and can you quote them with the machine?
- Do small parts ship by courier, and what is the HS code for a parts shipment?
- What is the warranty in writing, and what does it exclude?
- What support is available after the warranty, and what does it cost?
- If the fault is in the software rather than the hardware, can it be fixed remotely?
A supplier who answers all eight without hesitation is telling you they own the product. A supplier who answers none of them is telling you something too.
