How to Vet a Custom Vending Machine Manufacturer

Vet a custom vending machine manufacturer on eight checks: who you actually talk to, business licence and export history, a factory visit or live video walkthrough, a sample or pilot unit before volume, staged payment tied to milestones, written ownership of tooling and design files, a named after-sales contact with a parts commitment, and certification claims backed by a certificate and its issuing body. The distinction that matters most is whether the supplier designs the machine or resells someone else’s — a trading desk cannot answer an engineering question, and a white-label machine leaves you unable to source parts once the brand disappears. Ask for the evidence, not the assurance. Every point below can be checked before you place a deposit, and the questions are written so you can send them to several suppliers and compare the answers side by side.

Why this guide exists

Buyers researching custom vending machines and kiosks — particularly buyers importing them — ask one question before any other: how do I know this supplier is real, and how do I know I will not be abandoned after the machines arrive? It is a reasonable question, and it is rarely answered honestly, because the answer is a checklist rather than a sales pitch.

This page is that checklist. It is written to be used against any supplier, including us. Each check is something you can complete before you send a deposit, and each one produces evidence you can keep on file.

The two failure modes worth designing against are specific:

  • The specification gap. You buy a machine that was never designed around your products, and it jams, misfits or under-reports once it is loaded with the real stock.
  • The orphaned machine. You buy a white-label unit, the brand disappears, and nobody can tell you what the vend motor is or where to get another one.

Almost every check below exists to close one of those two gaps.

1. Are you talking to the engineers, or only to a sales desk?

This single question separates most suppliers. Ask something concrete and design-specific — how the coil pitch would change to suit a particular pack size, what happens if a product is too light to trip the dispense sensor, whether the enclosure can be made shallower for a corridor. A supplier that designs its own hardware answers with a mechanical explanation and a follow-up question about your products. A reseller returns a price.

You are also testing the communication path you will live with for the whole project. If the engineer is behind two intermediaries during pre-sales, they will be behind two intermediaries when something needs to be diagnosed on site.

2. Business licence, export history and references

Ask for the business licence and confirm that the name on it is the entity that will issue your invoice — a mismatch is not automatically a problem, but it is something you should know about and understand before paying.

Ask what the supplier has shipped to your region, and ask for a customer reference in your own market. A reference in the same country matters more than a longer list of references elsewhere, because it implies the supplier has already dealt with your voltage and plug conventions, your certification marks, and your customs paperwork.

3. Factory visit, or a live video walkthrough

A visit is best. When a visit is impractical, a live, unscripted video walkthrough is the workable substitute: ask to see the design office and the production line on the same call, ask the person holding the camera to move where you point it, and ask to see a machine of the type you are buying at whatever stage it currently sits.

Watch for the difference between a walkthrough and a slideshow. Pre-recorded footage and stock photography prove very little; the same building on a live call, on a day you chose, proves a great deal.

4. A sample or pilot unit before volume

For anything custom, order a sample or pilot machine and test it before committing to volume. Then test it properly:

  • Load it with your actual products, not sample items — real pack sizes, real bag shapes, real weights.
  • Run the sizes most likely to jam, and the near-empty column condition.
  • Connect the payment device you intend to deploy, not a substitute.
  • Pull the reports you will actually rely on and confirm they contain what you need — in particular, whether card transactions carry the item that was dispensed, or only an amount.
  • Have someone who is not part of the project use the machine without instructions.

A pilot that reveals a problem has done its job. The expensive version of that discovery is fifty machines on a wharf.

5. Staged payment tied to milestones

Structure payment around milestones you can verify — design sign-off, sample approval, completion of production and inspection, shipment — rather than a single payment in advance. Each stage should have a deliverable attached, so money moves against something you have seen.

Agree the stage list, the deliverable for each stage, and the payment method in writing before the first payment. This is standard practice for custom hardware and a reasonable supplier will expect the conversation.

6. Who owns the tooling, the design files and the software?

Custom work creates assets, and the contract should say who owns them. Cover three separately:

Asset The question to settle
Tooling Who owns any tooling created for your build, and can it be used for another customer’s order?
Design files Are mechanical drawings and enclosure design files available to you, and under what terms?
Software and firmware Is the software licensed or transferred? If the platform is cloud-hosted, what happens to your data — and to the machines — if the relationship ends?

There is no single correct answer; ownership can reasonably sit either way depending on who paid for the development. What is not reasonable is leaving it undefined until there is a dispute. 7. After-sales contact, spare parts and warranty in writing

Parts orphaning is the most common regret reported by buyers of low-cost imported machines: a white-labelled unit, a brand that no longer exists, and a vend motor nobody can identify. Before ordering, establish:

  • The named contact for after-sales support, and the hours they work in relation to your timezone.
  • How a part is identified and ordered — for KioskForce machines, the model and serial number identify the part.
  • Whether a spare-parts kit can be supplied with the original order. Freight and duty often dominate the cost of a small parts shipment, so wear items are usually cheaper bought with the machine than shipped individually later.

8. How to read a certification claim

Treat “CE certified” as the beginning of the conversation, not the end. Ask for:

  1. The certificate, as a document.
  2. The issuing body — the laboratory or notified body that performed the testing.
  3. The model named on it, which should be the model you are buying.
  4. The standard it was tested against.
  5. The market it covers — CE for Europe, FCC for the United States, RCM for Australia and New Zealand, and others by country.

A supplier that supplies certification for a different model, or that names no issuing body, has not answered the question. Required marks and test reports for a KioskForce build are confirmed at quotation stage, once the destination market is known.

Questions to send a supplier

Copy this list into an email and send it to every supplier on your shortlist. Compare the answers side by side — the differences between the replies are usually more informative than any individual reply.

  1. Who designs the machine, and can I speak with that engineer directly?
  2. Do you manufacture, or do you source finished machines from other factories?
  3. Can you provide your business licence and details of shipments to my country?
  4. Can I visit the factory, or take a live video walkthrough of the design office and production line?
  5. Will you build a sample unit before volume production, and what does that add to the timeline?
  6. What payment stages do you propose, and what deliverable releases each stage?
  7. Who owns the tooling, the mechanical design files, and the software for a custom build?
  8. What certification and test reports will be supplied for my destination market, and which body issues them?
  9. What voltage, frequency and plug configuration will the machines be built to?
  10. Who is my named after-sales contact, and how do I order spare parts in three years’ time?
  11. What is the warranty, in writing, and what does it exclude?
  12. Will the reporting show which item was dispensed on a card transaction, or only the amount?
  13. Which Incoterms do you quote, and what is included in the price?
  14. Can you provide a customer reference in my market that I may contact?

Red flags

  • Pre-recorded factory footage offered in place of a live call.
  • No engineer available at any point in pre-sales.
  • Full payment demanded before production.
  • Reluctance to put warranty, parts availability or IP ownership in writing.
  • A certification claim with no certificate, or a certificate for a different model.
  • A specification that never changes regardless of what you say you are dispensing — a sign you are being sold a catalogue machine with the word “custom” attached.
  • Reporting that cannot attribute a card sale to a product. This one is worth testing rather than asking about; it is a frequent, specific complaint about low-cost imported machines.
