Package Lockers for Coworking Spaces and Multi-Tenant Offices

In a coworking space or multi-tenant office, package lockers solve the community team’s daily chore of receiving members’ mail and parcels, finding the right member, and handing items over across shifts. Couriers drop off at the touchscreen against a member directory, members get a code by email or text, and collect when they next come in, at any hour the space is open. A coworking setup needs a few things an ordinary office does not: a directory that changes as members join and leave each month, a way to separate tenants or companies in one bank, and optionally a record you can use if you charge for mail handling. KioskForce builds parcel locker banks for shared workspaces to order and is taking reservations for the first production run.

Community teams in coworking spaces spend a surprising share of the day on mail: signing for parcels, working out which member “Alex at Studio 4” is, messaging them, and handing items over to whoever is on shift. Multi-tenant office buildings have the same problem at reception. This page covers how package lockers work when many companies and individual members share one space.

Quick answer

  • One bank for every member and tenant, with each parcel tied to a named person.
  • Directory sync with your coworking software, because members change monthly.
  • Codes by email or text; collection whenever the space is open.
  • Virtual-office members need a shorter window and a forwarding plan.
  • Mail-handling revenue: the delivery record per member supports billing if you charge for it.
  • Price: see the rough price guide.

What makes coworking different from a single-company office

Coworking feature Effect on parcels What the setup needs
Members join and leave monthly Directory goes stale fast Sync with your member software, or import weekly
Many small companies Couriers know the company name, not the person Directory search by person and company
Hot desks and day passes Members come in irregularly Longer collection window, reminders
Virtual-office plans Parcels for people rarely on site Short window, then shelf or forwarding
Front desk staffed by shift Hand-overs get lost between shifts One logged record of every parcel

Member directory and integrations

Keep the directory current, or codes go to people who left:

  • Sync over the API with your coworking management software if it can send member changes.
  • Import a member export weekly if it cannot.
  • Include the company name so couriers can search by business as well as by person.
  • Remove leavers promptly.

Separating tenants in a multi-tenant building

In an office building with several tenants and a shared reception, one bank can serve all of them. Each parcel is tied to a named recipient, and staff see which tenant it belongs to. If a tenant wants its own bank on its own floor, the software manages several banks under one building account.

Mail-handling as a service

Many workspaces include mail handling in some plans and charge for it in others. KioskForce charges you a flat software fee per location and nothing per parcel. The portal records deliveries per member, which gives you the counts for your own billing. Whether and how you charge members is your decision.

Day-to-day for the community team

Task Before With lockers
Courier arrives Team member signs and takes the parcel Courier drops off at the touchscreen
Find the member Search a list or ask around Locker notifies the member directly
Hand over Search the back office Member collects from the cell
Shift change Notes on who is owed what Portal shows what is waiting
Lost parcel question Memory Time-stamped record

Placement

  • Near reception, where couriers already arrive.
  • Visible to members on their way in, so collection is quick.
  • On camera, because many people share the space.

Specification checklist

  • Parcel counts for two weeks, with sizes
  • Member software and whether it can sync
  • Policy for virtual-office members and forwarding
  • Bank position, power and network
  • Billing approach, if you charge for mail handling

Where this is the wrong answer

  • A small space with a handful of parcels a week and a team member always at the desk.
  • Most mail is letters for virtual-office clients. That is a mail-scanning and forwarding service, not a parcel locker.
  • No one keeps the member list current.

Rough price guide and quote

A single coworking floor usually needs a small bank; a multi-tenant building may need one per lobby. The ranges below apply.

A small bank of about 10 cells with a courier touchscreen typically comes in at a few thousand US dollars, roughly US$2,000–5,000. A 50–100-cell building system is roughly US$8,000–20,000. Software is a flat monthly fee of around US$100 per location, with no per-parcel or resident fees. Freight, duties and installation are extra, and your quote fixes the price.

Frequently asked questions

How do coworking members receive their package codes?

By email or text, from the member directory. You can import members from a spreadsheet or keep the directory in sync with your coworking management software over the locker’s API, so new members can receive parcels from day one and departing members stop receiving codes.

Can several companies in one building share a locker bank?

Yes. Each recipient is a named person in the directory, so any tenant’s employees can use the same bank. Staff see which tenant a parcel belongs to in the portal, and every drop-off and collection is logged against the named recipient.

Can we charge members for mail and package handling?

That is your pricing decision. KioskForce charges you a flat software fee per location with no per-parcel fee. The portal’s record of deliveries per member gives you the counts if you decide to include parcel handling in a plan or bill for it separately.

What about virtual office members who rarely visit?

Parcels for members who seldom come in can fill cells for days. Set a shorter collection window for them, move uncollected items to a staffed shelf with a logged staff code, and offer forwarding if your plans include it.

Does the community team still handle mail?

They handle exceptions: oversize items, signed-for deliveries your policy keeps at the desk, forwarding and outgoing mail. Everyday parcels go through the lockers without the team receiving, logging or handing them out.
